Job Summary

We are seeking a highly organised and proactive Administration Support staff member to join our team. The ideal candidate will be responsible for providing comprehensive administrative support, assisting clients, handling walk-ins, following up on call leads, and performing various ad hoc tasks. The successful candidate will demonstrate excellent communication skills, attention to detail, and the ability to multitask effectively in a fast-paced environment. This position requires a high level of professionalism and a strong commitment to providing exceptional customer service.

Responsibilities

  • Handling walk-in clients, assigning visiting authorities or counselors and resolving customer inquiries
  • Managing and responding to phone, email, and postal inquiries in a timely and professional manner
  • Deliver courteous and efficient service to the visitors
  • Answer incoming calls, screen and direct them to the appropriate personnel, and take accurate messages when necessary
  • Follow up on call leads and inquiries, provide information, and assist potential clients in scheduling appointments or consultations
  • Assist to purchase and manage the office essentials, stationery, and pantry items
  • Provide administrative support to various departments, including filing, data entry, photocopying, scanning, and faxing documents as needed
  • Assist with the preparation of reports, presentations, and correspondence
  • Organize and schedule appointments, meetings, and travel arrangements for staff members
  • Perform other ad hoc administrative tasks as assigned by the supervisor

Requirements

  • Bachelor degree required
  • Proven experience in providing administrative support in a professional setting
  • Excellent verbal and written communication skills
  • Strong interpersonal skills and the ability to interact effectively with clients, staff, and management
  • Proficiency in MS Office (Word, Excel, PowerPoint) and other relevant software applications
  • Exceptional organizational skills and the ability to prioritize tasks effectively
  • Attention to detail and accuracy in data entry and document management.
  • Ability to work independently with minimal supervision and as part of a team.
  • Demonstrated ability to handle confidential information with discretion and maintain a high level of professionalism.
  • Strong problem-solving skills and the ability to adapt to changing priorities.
  • Flexibility to work occasional evenings or weekends if required.
